Congratulations, and welcome to Personal Coaching.

The coaching process is an opportunity to step back, gain greater clarity and perspective, identify what may be limiting your progress, and begin moving forward with greater intention and purpose.

Please take a few moments to review the information below prior to our first session. Doing so will help you arrive prepared and allow us to make the best possible use of our time together.

Duration of Sessions

Personal Coaching sessions are scheduled for up to one hour. While some sessions may conclude earlier, please set aside the full hour so that we have sufficient time to explore and complete our conversation without feeling rushed.

Please note that sessions have a firm one-hour limit and cannot extend beyond the scheduled time.

Meeting Software

All Personal Coaching sessions are currently conducted via Zoom. Please download and install the Zoom application in advance and ensure that your audio and video are working properly prior to our first session.

While you are welcome to participate by either video or audio only, video is strongly preferred whenever possible. Visual communication provides significantly greater context and information, and is therefore generally more conducive to an effective coaching process.

Recording

All Personal Coaching sessions are recorded. A recording of your session can be made available to you upon request via a private Dropbox link and will remain available for up to 90 days following the session.

Please note that all session recordings are provided solely for your private and personal review and may not be shared, distributed, or published publicly.

Connection & Audio Quality

Because Personal Coaching sessions are conducted online, a stable and sufficient internet connection is essential. Please ensure that you are connecting from a location with reliable internet service and, whenever possible, test your connection prior to the session.

It is the client’s responsibility to ensure adequate connectivity. An unstable or insufficient connection can significantly compromise the quality and effectiveness of our communication and, in some cases, may make it impossible to conduct or complete the session.

Clear and reliable audio is equally important. Please ensure that your microphone is functioning properly and that your voice can be heard clearly and consistently without excessive background noise, distortion, or intermittent cutting out. Poor audio quality can make sustained conversation difficult and significantly compromise the effectiveness of a coaching session.

Whenever possible, I recommend testing both your internet connection and microphone with Zoom prior to our first meeting, particularly if you are using a new device or setup.

Cancellations and No-Shows

An important part of Personal Coaching is the cultivation of excellence, discipline, and personal responsibility in all that we do. In keeping with this principle, punctuality and respect for our scheduled time together are important.

Please make every effort to be online, prepared, and ready to begin 1–2 minutes prior to your scheduled session time.

I understand that unforeseen circumstances occasionally arise and that you may need to reschedule. Whenever possible, please provide at least 24 hours notice. If something unexpected occurs within that window, please let me know as soon as reasonably possible by email.

Please keep in mind that your appointment represents time specifically reserved for you, and I often arrange other commitments around our scheduled session. Accordingly, a session missed without any prior notice will ordinarily be considered forfeited.

I understand, however, that mistakes and unexpected circumstances happen. As a courtesy, I will waive this policy for one missed session without notice. Any subsequent no-show without prior communication will result in the allotted session being forfeited.

Late Arrivals

If you are running late but still intend to attend, please notify me as soon as possible. When notice is provided, I will do my best to accommodate the remaining portion of our scheduled time; however, the session will still end at its originally scheduled time.

If I have not received notice and you have not joined within 10 minutes of the scheduled start time, I will consider the session a no-show and log off. The session will then be subject to the same policy above, including the one-time courtesy exception.

Presence

Please set aside the necessary time and space to be fully present and engaged during our coaching sessions. A quiet, private, and distraction-free environment allows us to work with greater focus, depth, and effectiveness.

Please make any necessary arrangements in advance with family members, children, guests, colleagues, or others so that you can remain undisturbed for the duration of our session. Whenever possible, silence notifications, minimize background distractions, and avoid multitasking so that our time together can receive your full attention.

Preparation

Effective coaching requires an active and engaged approach. You will gain the greatest benefit from our work together by coming to each session with a clear intention, question, challenge, or area of focus that you would like to explore and work through.

Between sessions, I encourage you to make note of any questions, insights, challenges, or recurring patterns that arise. Bring these with you to our next meeting so that we can use our time together purposefully and focus on what is most relevant to your continued growth and progress.

Scheduling Subsequent Sessions

If you have sessions remaining in your coaching package, I will normally include a link to schedule your next appointment in the follow-up email sent after each session. Follow-up emails are generally sent within 24 hours of the conclusion of our meeting.

For most clients, I recommend scheduling sessions approximately every 7–10 days. This provides sufficient continuity to maintain momentum while allowing time between sessions to reflect, integrate, and put into practice what we have discussed.

This schedule is flexible, however, and can be adjusted according to your individual needs, circumstances, and progress. Clients who have been working with me for an extended period of time may eventually benefit from less frequent sessions—sometimes meeting only once per month for continued guidance, perspective, and support.

Communication Between Sessions

You are welcome to contact me between sessions regarding scheduling, administrative matters, or brief updates that may be helpful for me to know prior to our next meeting.

Please keep in mind, however, that substantive coaching, guidance, and discussion are generally reserved for our scheduled sessions. If a significant question, challenge, or insight arises between meetings, I encourage you to make note of it and bring it with you to our next session so that we can give it the time and attention it deserves.

While I will do my best to respond to messages in a timely manner, please understand that my schedule does not always allow for immediate responses.

Scope of Coaching

Personal Coaching is intended to support your personal and spiritual growth, development, clarity, and progress. Our work together may involve exploring goals, challenges, habits, relationships, beliefs, patterns of thought and behavior, spiritual principles and practices, and other areas relevant to your growth and wellbeing.

Please understand that coaching is educational and developmental in nature and is not a substitute for psychotherapy, medical or mental health care, legal counsel, or other licensed professional services. When a matter falls outside the appropriate scope of coaching, you may be encouraged to seek assistance from a qualified professional in the relevant field.

Ultimately, coaching is a collaborative process. I can provide guidance, perspective, support, and tools, but the decisions you make and the actions you take remain your responsibility.
